How to Manage an Endless Summer Pass

Offering an Endless Summer Pass – an unlimited pool pass for the month of September – is a great way to increase repeat visitors to your pool during shoulder months that have lower demand and boost food and beverage sales as a result. To manage this strategy effectively, you’ll need to ensure your staff is property trained to welcome these guests, and have a clear, simple system to track your passholders. 

Here are some easy tips to follow to make this strategy a success.

Train Your Front Desk Team

Make sure your front desk staff understands what the monthly pass includes and how to handle passholders. Proper training prevents confusion and ensures smooth check-ins for your guests.

Important things to be aware of:

  • The email confirmation will show a single booking date, so it’s important for your staff to check the product name (“Endless Summer Pass”).
  • Check the name on the reservation and match it to the guest's identification.
  • Make sure your team knows the dates that the Pass is available for, and any blackout dates.
  • Make sure your staff knows which amenities are included in the Pass and can advise on any changes to the restaurant or bar open hours.

Provide a Physical Pass

Give your monthly passholders a physical wristband or card they can show when they arrive. This makes it easy for your staff to quickly identify legitimate passholders.

Keep Passholder Lists at the Front Desk

Always have an updated list of your monthly pass members available at your front desk for quick reference.

Print Your Monthly Pass List

To generate your member list:

  1. Navigate to Reservations in your ResortPass Partner Portal
  2. Filter your reservations with these settings:
    • Date: 9/2 through the end date of your pass
    • Status: Booked or Checked In
    • Product Type: Endless Summer Pass
  3. Set display to show 100 records per page to see all reservations
  4. Click "Print" to generate a PDF of your list

Clearly Communicate around Unexpected Closures

If areas included in the monthly pass need to close unexpectedly (pool maintenance, restaurant closures, etc.), communicate in a timely manner to ResortPass so that the Endless Summer passholders have appropriate expectations.

This ensures proper communication with your passholders and helps maintain good relationships despite temporary inconveniences.
